Paris Collective Work Plan

The work plan hereafter is meant to be adjusted according to the lessons we will learn from the NZ CSC. We all have to work in symbiosis and integrate feedback and analysis of the NZ CSC to build the next EU CSC in the continuity.
- Previously : Informal discussion, looking for a place where the Collective might be hold
- Sept/Oct 06: Write Version 1 of the proposal
- Oct/ Nov 06 : Complete the proposal – Version 2
- Nov 06 : Wait for their opinions and feedbacks ; more explanations will be given or some aspects will be further developed if necessary
- Nov 06 : Officially inform the CouchSurfing community – keep it rather small. More extensive promotion of the event would be done later on so as to avoid to interfere with the promotion of the New Zealand Collective
- Nov 06 : First event partly aiming at financing the Collective : the Paris November 06 meeting www.couchsurfing.com/meeting.html?mid=805
- Nov 06 : Send the proposal to all Founders and Admins
- Nov. 06 : Begin to search for an apartment available in May, June and July 07
- Nov 06 to Jan 07 : Only in between main Organisation team members
Further development of the current work plan
- list exhaustively all that needs to be done in order for the CSC to take place
- start defining
- who will be in charge of what preparatory work?
- how much time it should take? (hours, days, etc.)
- what objectives he/she needs to fullfill?
- when/at what stage or time any item on the list has to be done, make a schedule and set up deadlines
- be closely in touch with the NZ CSC in order to adapt the EU CSC organization and goals according to their feedback, experiences and achievements
Designation of ONE person in charge of keeping record of everything, updating the work plan content and reminding others regularly of what needs to be done and of deadlines – this person would then be the resource/coordinator to which any volunteer could address to try and find something to work on according to one’s skills
10) Middle of Jan. 07 : Book the School for 4 weeks
11) Nov 06 : Visit of the school by the local organization team
12) Jan 07 : List all the items we will need, gather Parisian members, list skills and begin to organise and share the preparatory work
13) Jan-July 07 : Find sponsors for some specific items (food, coffee, tea, ...)
14) March 07 : Begin to extensively promote the Paris CSC to top European members, CSers involved in CS volunteering, etc. plus the ‘outside’ French (or even EU?) media world… through either posts and mail or simply world of mouth
15) May/June/July 07 : Determine what the workshops will be like/about Start to train online/explain their roles to future workshop moderators and secretaries
16) Beginning of June 07 : Beginning of the first part of the Collective
17) 13th of July 07 (or even earlier as the 14th is a bank holiday and people might be gone from Paris? Whatever, this needs to be around one week before the actual start of the Collective) : Gathering of the whole Organisation and Assistant Organisation Teams
a. Checking that all preparatory work planned had been completed and all documents produced (maps, signs, information booklets – read further explanations in appendix 3 - house rules poster, etc.)
b. Distribution of tasks and roles for welcoming the attendants and for the first week itself
18) 20th of July 07:
a. Moving in of the Organization team at the School
b. Setting up of the location :
i. signs to indicate the way/rooms usage/etc.
ii. House rules and various posters and information boards (check appendix 3 for further explanations)
c. Last face to face training of all workshop moderators and secretaries so they can be efficient from start, know what to do, how to give feedback, what precise subject their workshops deal with, etc.
19) 21th of July 07: Beginning of the ‘School gathering’ part of the Collective, arrival of participants
20) 19th Aug 07: End of the ‘School gathering’ part of the Collective
21) Relaxing and Debriefing for the organization team, Founders and Admins who are still around.
